Inventory Locations, how do they work?

When inventory is added to stock, the system automatically creates an Inventory Lot. Each of these Lots is assigned a Location which can be useful for order fulfillment and reporting purposes.

The purpose of this article is to illustrate which Location will be assigned when inventory is added and how to search for inventory by location.

  1. The system will first look for a default location on the Product Inventory tab to determine which location to use.
  2. If there is not a default location on the Product, the system will use the Default Warehouse Location.
  3. During PO Receiving or Inventory Maintenance, the user can manually enter a non-default location.
  4. Once the inventory has been added to stock, the Inventory Lot will retain the location.
    • If any of the default locations are changed, this does not change the location on the Lot.

Navigate to Warehouse Management -> Products, open a Product and click on the Inventory tab. Scroll down near the bottom and you'll see a row to enter a Location for each Warehouse. This is the first place the system will look for the Location which will be assigned when inventory is added.

The best practice is to enter all locations for each warehouse before assigning locations to the product. Warehouse locations can be entered manually or imported.

Please note that these are only default locations (i.e. the location that will auto-populate during PO Receiving or Inventory Maintenance). Changing the location here DOES NOT change the location of any current inventory.

Navigate to Warehouse Management -> Warehouses and find the Default location field. If there is no default location entered on the Product Inventory tab (see above), the system will use this location when adding inventory.

During PO Receiving, the system will automatically use the default location based on the above settings. However, the user can override the default location by entering a different location in the field below.

Whether you are using the default location or a different location, this is the location that will be assigned to the Inventory Lot when it is created.

When adding inventory using Inventory Maintenance, the system will automatically use the default location based on the above settings. However, the user can override the default location by entering a different location in the field below.

Finding Product locations

Product default locations can be found in the Inventory Levels screen.

The location of current inventory can be found in the Inventory Lot screen.

The best place to find out which Products have been assigned a default location is Warehouse Management -> Inventory Levels.

In the screenshot below, you can see some of the products have been assigned a default location whereas others do not have a default location assigned.

The best place to find the location(s) of currently on-hand inventory is Warehouse Management -> Lots.

Lots display the location that was used when the inventory was received or added to the system.

You can see here that even though some of these Lots are in the same warehouse, they all have been received or added in different locations.

Lot Detail

If the inventory was added to an incorrect Location, it can be changed here. Double-click to open the Lot, enter a new location and click OK to save. This will only change the location of one Lot at a time.

Search Tools

You can also search by Location in the Inventory Levels and Inventory Lot screens by using either Quick Search or Power Search.

A search for location A1S1 in the Inventory Levels screen will display all items (by warehouse) that have been assigned A1S1 as the default location.
