    Edit the Shortcuts

    How to change the keyboard shortcuts associated with AcctVantage menu items.

    Note: shortcuts are universal - changing them will effect every system User.

  • One of the most important tasks in data management is report generation. The Quick Report Editor is one of the tools used to design reports. You use the Quick Report Editor to create reports based on a selection of records. These can be ad-hoc reports intended only for one-time use or they can be save to be used perpetually.

    With Quick Reports you can:

    • Produce a list of records.
    • Create breaks and subtotal lines.
    • Compute calculations such as sums and averages.
    • Apply formatting such as fonts, font styles and borders.
    • Export the report as a file that can be imported into spreadsheet software such as Microsoft Excel®.

    The Quick Report Editor will produce a report from a current selection of records. Before you print a Quick Report, set the current selection to the list of records to be included in the report using one of the query methods described here. The following is an example of a Quick Report.

    Cross-references

    Cross-referencing is one of the most powerful tools in AcctVantage. Used throughout AcctVantage, it allows you to quickly search for a list of records in one window based on a selection of records in a related window. Cross-referencing can quickly become an indispensable part of your routine.

    For example, let’s say you are reviewing a Client record want to see all of the Sales entered for that Client. Simply highlight the Client record, in the Client List View, and then open the Sales Order List View. On the Sales Order screen, use the Cross-reference tool to find records related to the Client screen. The result will be a list of all Sales Orders for that Client!

    One last thing to note: If you highlight a record in the "From" window, the cross-reference in the "To" window will only display records based on that one selection. However, if nothing is highlighted in the "From" window, the cross-reference in the "To" window will assume everything in the "From" window is the current selection and will display corresponding records based on that.

    Power Searches

    If the Quick Search, Filter By and Cross-reference tools aren’t enough to produce the desired records, the Power Search is a very powerful searching tool that gives you access to every table and field in the entire database. It also allows you to build (and save!) multi-line searches that can be used over and over again and even shared with other system users.

    Each of these search tools can be used independently to produce a list of records to work with. Also, you can combine these tools in a single search for a very focused result.

    In this article we'll look at creating and saving a Power Search that will display a list of Sales Orders that we Invoiced to our Widget Buyer Client for the last quarter of Fiscal Year 2012.

    Serial Numbers

    Serial Numbers are formatted in the Product record and assigned (either manually or automatically) when the Products are entered into Inventory. (i.e. When they are received on a PO or if the Product is an Assembly the Serial Number will be assigned when the item is built via a Work Order.) When a Serialized item is sold, the Serial Number will be selected on the Fulfillment tab of the Sales Order.

    The Serial Numbers window allows you to track the status of each Serialized Product in your Inventory (Available or Sold). AcctVantage also allows you to see the history of each item -- the date and amount of its purchase, as well as the date and amount of its sale.

  • AcctVantage ERP supports purchasing from your Vendors using any available Unit of Measure. This means you can stock an item by the each while purchasing by the case, or buy a foot and sell a yard.

    In order to issue PO's using Alternate Units of Measure, you must first define and then associate these Alternate UM's with the Product you are purchasing. Please refer to the lesson on How to Setup Alternate Units of Measure.

    Purchasing History

    The Purchase Analysis feature provides a convenient way to analyze your company's purchasing history. This feature gives you access to the line item detail of all Purchase Orders so that you can search and report on any activity by Product or Vendor.

    Note that AcctVantage’s search engine allows you to quickly find the desired Purchase Events. Available search criteria includes Vendor Name, Part Number, Product Name and many other fields.
