Planner

The Planner provides a way to schedule and monitor events and tasks for AcctVantage Users.

1. Open the Planner window.

2. Working With Events

Open the Planner. If the Events tab is not showing, click on it.

2.1. Viewing and Changing Events

  • Month Drop-Down List: Use this menu to select the month. Click on the down arrow to select from a list of months or click on the right or left arrow to move to the previous month or the next month.
  • Year Drop-Down List: Use this menu to select the year. Click on the down arrow to select from a list of years or click on the right or left arrow to move to the previous year or the next year.
  • Month Calendar: The small numbers directly below the date numbers indicate how many Events are scheduled on that day. Click on the day of the Event(s). The summary for the Event(s) will be displayed in the Events lists on the right.
  • Events: Company Events are listed on the top and Individual Events are listed on the bottom. Events in bold type have Unread status. Double-click on an Event summary to see or modify the Event record.

2.2. Scheduling New Events (Company Wide)

Click on the blue + symbol next to the Company Events list to schedule an Event for all Users.

  • Event Summary: The subject of the Event.
  • Detail: Type in a description of the event here.
  • Event Date: Type in the event date in MM/DD/YY format, or click on the down arrow to select a date from a calendar.
  • Event Time: Type in the event time in HH:MM military format  (01:00 to 24:59), or click on the down arrow to select an hour and minute setting from a list.
  • Entered By: This is your name and title, and is utilized to notify other event-viewers of your identity.
  • Locked: Click here to prevent anyone else from modifying the event.

2.3. Scheduling New Events (Individual)

Click on the blue + symbol next to the Individuals Events list to schedule an Event for a single person.

  • Event Summary: The subject of the Event.
  • Detail: Type in a description of the event here.
  • Event Date: Type in the event date in MM/DD/YY format, or click on the down arrow to select a date from a calendar.
  • Event Time: Type in the event time in HH:MM military format  (01:00 to 24:59), or click on the down arrow to select an hour and minute setting from a list.
  • Event for User: This is the User that the Event is assigned to. (Not available on Company Wide Events.)
  • Entered By: This is your name and title, and is utilized to notify other event-viewers of your identity.
  • Mark Event Not Read: Check this box to return the Event to Unread (i.e. bold) status.
  • Private: If this box is checked the Event will only be viewable by the person who created it.
  • Locked: Click here to prevent anyone else from modifying the event.

3. Working With Tasks

Open the Planner. If the Tasks tab is not showing, click on it.

  • Month Drop-Down List: Use this menu to select the month. Click on the down arrow to select from a list of months or click on the right or left arrow to move to the previous month or the next month.
  • Year Drop-Down List: Use this menu to select the year. Click on the down arrow to select from a list of years or click on the right or left arrow to move to the previous year or the next year.
  • Month Calendar: The small numbers directly below the date numbers indicate how many Tasks are scheduled on that day. Click on a day to display the summary for Tasks on the right.

  • Assigned vs. Delegated tabs: Click on Assigned to see Tasks assigned to you, or on Delegated to view Tasks you have delegated to others.  
  • To vs. By: Click on the down arrow to select the User whose Tasks you want to view (in the Assigned tab) or to see which Tasks a person has delegated (in the Delegated tab).
  • Tasks list: Shows a list of Task summaries. Task summaries in bold type have Unread status. Double-click on a Task summary to see or modify the Task record.
    • X column: Indicates the Task has been marked completed.
    • P column: Indicates Task priority.
      • U = Urgent
      • N = Normal
      • L = Low
  • Due Date: Indicates the date by which the Task is scheduled for completion, in MM/DD/YY format.
  • Time: Indicates the time by which the Task is scheduled for completion, in HH:MM format.
  • Summary: A brief description of the Task.
  • Linked To: The record associated with the Task.

3.1. Scheduling Tasks That are Linked to a Record

While viewing a record (e.g. Sales Order, Purchase Order, Voucher, etc.) click on the yellow note icon. An Add a Task dialog box will appear.

Add a Task

  • Subject: The name of the Task, or a brief description.
  • Detail: A full description of the Task.
  • Custom Fields: The fields are not tied to anything. You can enter whatever you want in them. For customization using these fields, please contact AV Support.
  • Attached To Record: Lists the record to which the Task is attached.
  • Assigned To: The person to whom the Task is assigned.
  • Due Date: The scheduled date for completion.
  • Event Time: The Time that the Task is scheduled for.
  • Reminder: If checked, AcctVantage will present an Alert on the Users screen when the Task becomes due or prior to the Event Time if indicated.
  • Priority: The priority level for the Task (Low, Normal, or  Urgent).
  • Delegated By: Indicates which person has generated the Task.
  • Task Type: A Custom Pop-up List. Can be used however you want. See the article on Pop-up lists for more info.
  • Mark Task Not Read: Check this box to return the Task to Unread (i.e. bold) status.
  • Private: If this box is checked the Task will only be viewable by the person who created it.
  • Locked: Click here to prevent anyone else from modifying the Task.
  • Completed: Indicates the Task has been Completed status.

3.2. Scheduling Tasks That are Not Linked to a Record

  1. Open the Planner.
  2. Click on the Tasks tab.
  3. In the Tasks list, click on the blue + symbol.  
  4. An Add a Task dialog box will appear. As appropriate, enter information into the Task record.

3.3. Task Alerts

When a Task is due, a Task Alert is presented on the User’s screen. Task Alerts are presented at the Event Time by default. (A reminder in advance of the Event Time may be indicated on the Task record.)

When the Alarm is presented, the User has the option to Open Task, Dismiss or Snooze. When a Task is associated with a Client record, then an additional option to Open Client is available.
